Job Description

SUMMARY

Under direct supervision, this position is responsible for assisting the supervisor in overall coordination within the Data Science & Advanced Analytics (DSAA) department with substantial latitude for independent action in accomplishing tasks in a timely manner.

ESSENTIAL COMPETENCIES, DUTIES AND RESPONSIBILITIES

  • Act in a liaison capacity between Managers/Directors/management and various departments within organization, as well as outside agencies and organizations.
  • Act as administrative support and coordinate activities for the respective division to include monitoring timelines and ordering supplies.
  • Coordinate meeting arrangements, appointments, agendas, travel requests, expense reports, maintain/update contact lists, coordinate and send progress reports and answer telephone calls for Directors/Managers and department staff.
  • Maintain regular communication with outside agencies and organizations to obtain or relay information and research problems.
  • Support the Compliance activities:
    • Send desk request documents
    • Grant ftp access
    • Send reports to the Department
    • Organize, assemble and assist with report development (merging documents, basic editing)
  •  Interface with Phoenix staff and the Department as assigned.

Job Requirements

EDUCATION AND/OR EXPERIENCE

  • Minimum of two years secretarial experience.
  • Minimum of two years word processing experience

OTHER QUALIFICATIONS 

  • Working or thorough knowledge of Microsoft Office.
  • Typing speed of 40 wpm.
  • Excellent spelling, grammar, composition, proofreading, interpersonal and communication skills.
